Print the records for one patient to a single document

In addition to printing a single clinical document, the system allows for the clinical records for a given patient to generate into one single document. To do so:

  • Login
  • Goto Patient List
  • Choose the Patient you want from the Patient List
  • Click the Patient Info tab
  • Click the General Sub-Tab (if not there already)
  • Choose Print -> All Clinical Records

The system will prompt you to download the document containing all that patient's clinical records.

Data Liberation

Data Liberation is a automatic data export functionality available to some organizations/users.

Requirements To Export Data

In order to use, the following must be met:

  • your account (all users and organization) must be in good standing;
  • your organization must support the functionality;
  • your user must have permission within the organization (be an administrator account and be able to see everything);
  • you must agree to the requirements and terms shown in the application on the screen during the process.

A non-exhaustive list of potential items that could stop data export include but is not limited to:

  • any user within your organization is suspended;
  • non-ascii characters were used in the creation of clinical documentation which cannot be rendered into the dump;
  • the organization billing plan does not have a valid credit card on file or has an outstanding balance; or
  • there is a security, billing, legal, or other issue for your organization that is under review.

Timing

After successfully submitting a request, the system will automatically run the process. It may take hours or days depending on the quantity of records. We cannot predict how long the process will take.

Using the system while running the process is discouraged. It is best to submit it at the end of a workday.

Format

The records will be assembled into a zip file. The zip file will contain a group of files in a format called CSV with embedded JSON objects. It is not a human readable format like PDF. Only other skilled technology staff may be able to use this format.

How to request a data export

To request a data export:

  • login to your account
  • click configuration
  • click documents
  • expand the "Data Liberation" area at the bottom of the page
  • scroll to the bottom of the page where it outlines the responsibilities that come with downloading this type of information,
  • if you meet the meet the requirements of this article, the requirements outlined in the text on screen, and agree to accept the liability of having such data stored on your own computers, then endorse that you have read them by checking the three boxes
  • after agreeing to the terms of the data export, then you can then click on the "Request Generation of the Data Dump" to make a request

If you meet all the requirements to request generation, the system will notify you that a request has been submitted.

Please click this button only once! The files are very large and can take anywhere from hours to days to generate. Warning: Clicking the button multiple times will suspend your account.

Errors are Possible: The system may also issue a error telling you what needs to be resolved to proceed. Most specific errors, such as billing or permissions, are resolvable by the user from within the system, usually the Configuration Tab. An "account suspended" error requires intervention by the customer service, security, or legal staff. A "general error" indicates your organization cannot use this functionality.

Where to find the data export file

We cannot predict when or how long an export will take. It is an automatic process. Check back once a day using the following steps.

When it is done the file will be placed into your document manager and can be found using the following steps:

  • Login to TherapyCharts
  • click a patient from the Patient List
  • click the Documents tab
  • adjust the Filter at the bottom of the Document list to choose "All General Docs"

The filename will be similar to TherapyCharts_Export_*.zip. The description will be "Data Dump"

Alternatives

There are no other alternatives. Printing generally, printing to a single document, and the functionality on this page are the only ways of getting data out. In particular we do not offer .MDB or other exports.
